How Our Property Management Works
Step 1
Initial Consultation
We begin with your residence, how you use it, and the level of management you need. We discuss your priorities, existing providers, maintenance concerns, and arrival plans, then identify the next steps and whether Dharma is the right fit for your property in Costa Ballena.
Step 2
Property Assessment
During an agreed walkthrough, we review accessible areas, relevant systems, maintenance needs, access procedures, existing contractors, and known issues. We identify preventive maintenance priorities and property-specific operational risks, including moisture, drainage, coastal exposure, water systems, and backup power.
This is an operational assessment, not a certified structural, electrical, or engineering inspection. Where specialist evaluation is needed, we identify it for your consideration.
Step 3
Personalized Estate Management Plan
We define visit frequency and scope, preventive maintenance schedules, home care services, contractor oversight, owner reporting, and arrival preparation. Your plan establishes access procedures, spending approvals, emergency contacts, and incident follow-up arrangements.
Recurring management fees, separately quoted services, and third-party expenses are clearly distinguished. Responsibilities and charges are agreed before services begin.
Step 4
Ongoing Estate Management
Dharma actively oversees agreed property operations: scheduled visits, preventive maintenance, contractor supervision, and follow-up on pool, garden, housekeeping, and repairs. We track outstanding matters, maintain property records, and prepare your residence for agreed arrivals. Qualified providers perform specialized work where appropriate.
We follow issues through to resolution or escalate them for owner decisions or specialist attention. Incident and emergency follow-up is arranged under your management plan, subject to provider availability, weather conditions, and safe property access.
Step 5 — Reporting & Owner Communication
Practical updates keep you informed about your home and agreed work. Reports include dated photographs, inspection observations, maintenance updates, outstanding issues, recommended next steps, contractor follow-up, applicable expense summaries, and owner approval requests.
Areas not inspected and matters requiring specialist attention are identified clearly. Visit and maintenance records build a useful property history. Communication methods and reporting frequency are established in your management plan.
A Clear View of Your Home
Illustrative report excerpt — fictional example, not a client record. Actual report contents and visit frequency are agreed for each property.
Visit Summary
Accessible areas checked: terrace, exterior drainage, and pool equipment area. Observation: leaves collecting near one terrace drain. Areas not checked: locked storage room.
Action & Follow-Up
Routine drain clearing: coordinate within the agreed scope. Pool equipment: request specialist assessment of a reported intermittent noise; assessment pending.
Owner Decisions
Specialist quotation: awaiting owner approval before work proceeds. Next update: record the approved action, provider visit, and completion evidence.
A report can bring together dated photographs, observations, action status, and approval requests. No client photographs or property details are shown in this example.
YOUR HOME, OUR CARE.
Clear Vendor & Payment Arrangements
Dharma is your primary contact for organizing and overseeing agreed provider work.
Third-party providers are normally paid directly by the homeowner. Where specifically agreed, Dharma may arrange authorized payments or expenses under documented procedures.
Third-party labor, materials, and supplies are distinguished from Dharma’s management fees. Major expenditures require approval under your agreement, and emergency spending limits are defined in advance.
Additional work outside the agreed scope requires authorization.
